1. Adding/Enabling the Veton.ai AI Copilot for Zoom
The Veton.ai AI Copilot is a user-managed assistant that joins your Zoom meetings when you instruct it to from the Veton.ai platform. There's no separate "app" to install from the Zoom Marketplace for this core Copilot functionality. You enable it by using Veton.ai:
Step 1: Sign Up/Log In to Veton.ai:
If you don't have an account, sign up at http://app.veton.ai/signup or book a demo at https://www.veton.ai/demo
If you have an account, log in at https://app.veton.ai.
Step 2: (Optional) Connect Your Calendar & ATS:
For the best experience, connect your preferred calendar (e.g., Google Calendar, Outlook Calendar) and your Applicant Tracking System (ATS) if you use one. This allows Veton.ai to automatically identify interview events or pull in candidate data.
You can do this from your Veton.ai account settings [Link to your Veton.ai settings/integrations page].
If not using an ATS, you can manually upload candidates (see "Using the Copilot" below).
Step 3: Prepare a Position in Veton.ai:
Ensure you have a "Position" set up in Veton.ai with relevant details and a configured "Scorecard & Evaluation Criteria" under the "Copilot" tab for that position. This tells the AI Copilot what to assess.
The AI Copilot is now "enabled" and ready to be sent to your Zoom interviews.
Troubleshooting "Adding":
Copilot not joining? Ensure you've correctly provided the Zoom meeting link to Veton.ai (see "Using the Copilot" below).
No scorecard visible? Make sure the "Position" in Veton.ai has its Copilot scorecard configured.
2. Using the Veton.ai AI Copilot with Zoom
Once an applicant is in your Veton.ai system for a specific position:
Step 1: Initiate a Copilot Interview from Veton.ai:
Navigate to the applicant's profile within Veton.ai (e.g., Boards -> [Your Board] -> Positions -> [Your Position] -> Applicants -> Click on Applicant Name).
Click the "..." (three dots for more options) menu next to the applicant.
Select "Create Copilot Interview" (or a similarly named option like "Send Copilot Interview" if it also handles ad-hoc invites).
Step 2: Provide the Zoom Meeting Link:
A prompt will appear in Veton.ai asking for the Zoom meeting URL.
Start your scheduled or ad-hoc Zoom meeting.
In Zoom, obtain the invite link (Participants -> Invite -> Copy Invite Link).
Paste this link into the Veton.ai prompt and confirm.
Step 3: Copilot Joins Your Zoom Meeting:
The Veton.ai AI Copilot will attempt to join your Zoom meeting as a participant.
If you have a waiting room enabled, you may need to admit the Copilot.
Step 4: Grant Recording Permission:
Upon joining, the Veton.ai AI Copilot will request permission to record the meeting via a standard Zoom prompt.
As the host, you must click "Approve" or "Allow Recording" for the Copilot to function.
All participants will see Zoom's standard recording indicators.
Step 5: During the Interview:

Access the candidate's profile in Veton.ai to view:
Copilot Analysis (Final Verdict, breakdowns, action items)

3. Removing the Veton AI Copilot / Disconnecting from Zoom
Since the Veton.ai AI Copilot is a user-managed bot and doesn't involve a traditional Zoom App Marketplace installation by the end-user for its core bot functionality:
To Stop Copilot from Joining Future Meetings:
Disconnect Your Calendar (if connected): In your Veton.ai account settings, disconnect your calendar integration. This will prevent Veton.ai from automatically identifying and offering to join scheduled interviews.
Do Not Send Copilot Invites: Simply refrain from using the "Create Copilot Interview" feature in Veton.ai for specific applicants or meetings.
To Remove Veton AI's Access to Your Data (General Account Deletion):
If you wish to completely remove your Veton account and have your data deleted according to our Privacy Policy:
Log in to your Veton.ai account.
Click on support
Request Account Deletion.
Alternatively, contact Veton.ai support at [email protected] to request account and data deletion.
Data Handling Post-Removal/Disconnection:
If you only disconnect your calendar, existing interview data (recordings, analyses) previously processed by Copilot will remain in your Veton AI account unless you explicitly delete the candidate or the interview data from within Veton.ai, or request account deletion.
Upon full account deletion, your data, including any Zoom meeting recordings stored by Veton AI, will be handled as per our Privacy Policy https://www.veton.ai/privacy-policy. Typically, this involves permanent deletion after a defined retention period or upon request.
4. Troubleshooting
Copilot not joining Zoom meeting:
Verify the Zoom meeting link pasted into Veton.ai was correct and for an active meeting.
Ensure your internet connection is stable.
Check if the Copilot is in the Zoom waiting room and needs to be admitted.
No recording available post-interview:
Confirm you, as the host, granted recording permission to the Copilot in Zoom.
Allow a few minutes for Veton.ai to process and make the recording available.
Check your Zoom cloud recording settings to ensure cloud recording is enabled for your account (though the SDK bot typically does its own client-side recording stream to your backend).
Scorecard or AI analysis seems incorrect:
Ensure the "Position" in Veton.ai has the correct scorecard criteria.
Contact Veton.ai support for assistance.

Q: Do I need to install a Zoom app from the Marketplace for the Copilot to work?
A: No, for the core AI Copilot bot functionality of joining and recording your interviews, you manage it directly from your Veton.ai account. It uses Zoom's SDK to join as a participant.
Q: Who can see the interview recordings and analysis?
A: Only users with access to your Veton.ai account and the specific candidate/position can view this data.
