Automation Rules – User Guide

Automation Rules help you save time by automatically disqualifying unqualified candidates or shortlisting top talent. Instead of reviewing every application manually, you set up rules once and let the system handle the repetitive work.


Where to Find Automation Rules

You can set rules at two levels:

  • Organization Level (default for all new positions)

    • Go to Board → Board Settings → Position Defaults → Automation Rules

    • These apply to all positions automatically

  • Position Level (custom for one role)

    • Go to Position → Edit Position → Automation

    • These rules override organization defaults for that specific role

💡 Tip: Use organization rules for company-wide standards, and position rules for unique roles.


Types of Rules

1. Auto-Disqualify Rules

Automatically reject candidates if they don’t meet your criteria.

  • Rule Logic:

    • ANY condition (OR) → triggers if at least one condition is true

    • ALL conditions (AND) → triggers only if all conditions are true

  • Example: Disqualify candidates if their resume is “Not Fit” OR they haven’t responded in 14 days


2. Auto-Shortlist Rules

Automatically advance strong candidates for faster review.

  • Rule Logic:

    • ANY condition (OR) → triggers if at least one condition is true

    • ALL conditions (AND) → triggers only if all conditions are true

  • Example: Shortlist candidates if resume = “Good Fit” AND interview = “Great Fit”


Available Conditions

When creating a rule, you can choose from these condition types:

  1. Resume Analysis

    • Rates how well the candidate’s resume matches the role

    • Options: Not Fit, Maybe Fit, Good Fit, Not Provided

  2. Interview Analysis

    • Based on AI evaluation of candidate interviews

    • Options: Not Fit, Maybe Fit, Good Fit

  3. Unresponsive Days

    • Flags candidates who haven’t completed their interview after an invitation

    • Common values: 7 days, 14 days, 30 days

💡 Tip:

  • Use Resume + Interview together for high-confidence shortlisting

  • Use Unresponsive Days to clean up inactive candidates


Adding Conditions

  1. In the rule section, click + Add Condition

  2. Select the type (Resume, Interview, Unresponsive Days)

  3. Choose the value(s)

  4. Save


Common Examples

  • Disqualify unqualified resumes

    • Resume = “Not Fit” → Action: Disqualify

  • Fast-track top talent

    • Resume = “Good Fit” AND Interview = “Great Fit” → Action: Shortlist

  • Remove no-shows

    • Unresponsive for 14 days → Action: Disqualify


Best Practices

✔ Start simple (e.g., only disqualify “Not Fit”)
✔ Use OR for alternative disqualification reasons
✔ Use AND when shortlisting to focus on the best candidates
✔ Review results weekly and adjust if needed


Troubleshooting

  • Rule not working?

    • Make sure it’s toggled ON

    • Check if the candidate actually matches the condition

  • Too many candidates affected?

    • Switch from OR → AND

    • Tighten your conditions
