✨ Choosing a Meeting Scheduler for Copilot Interviews

While Veton’s Copilot is packed with powerful features for interview automation and analysis, we don’t currently offer built-in scheduling. But no worries, you can easily pair Copilot with a meeting scheduler that fits your workflow.

Here are some of the most commonly used scheduling tools by our customers and what you should know when picking one.


🗓️ Popular Scheduling Tools

📅 Calendly

Free version available

Calendly is one of the most widely used scheduling tools out there. The free version allows you to:

  • Create 1 active event type (e.g., “30-min Interview”)

  • Sync 1 calendar (Google, Outlook, etc.)

  • Send automated confirmation emails

Limitations: No team features or round-robin scheduling in the free tier.


📆 Google Calendar Appointment Slots

Free with a Google Workspace account

Google offers “appointment schedules” for users with Google Workspace (formerly G Suite). You can:

  • Create appointment blocks directly from Google Calendar

  • Share a booking link with candidates

  • Auto-sync with your Google Calendar

Limitations: Only available to paid Google Workspace users (not free Gmail accounts); no advanced workflows.


📅 Microsoft Bookings

Free with Microsoft 365 Business accounts

Bookings is included with some Microsoft 365 plans and lets you:

  • Set up interview slots with automated reminders

  • Sync with Outlook/Teams calendars

  • Offer custom intake forms for candidates

Limitations: Requires a Microsoft 365 subscription; setup may require admin permissions.


💼 HubSpot Meeting Scheduler

Free version available

HubSpot’s meeting tool comes with its free CRM and includes:

  • Personal scheduling link

  • Integration with Gmail or Outlook

  • Basic buffer time and availability rules

Limitations: Team features and advanced routing require a paid plan.


🤝 Zoho Bookings

Free version available

Zoho’s tool is a flexible option that works well for small teams. Free version includes:

  • One staff member

  • Sync with Google/Zoho calendars

  • Email confirmations

Limitations: Group bookings, team scheduling, and SMS reminders are behind paid tiers.


📍 Other Tools You Can Explore

There are several other options that integrate well with calendar platforms:

  • YouCanBookMe (Free version available, basic customization)

  • TidyCal (Low-cost, with a generous one-time payment option)

  • Chili Piper (Geared more toward sales, but powerful routing features)


🧩 How to Use with Copilot

Once you’ve chosen a scheduling tool:

  1. Create your meeting link (e.g., a 30-minute interview link from Calendly, Google Calendar, etc.).

  2. Add your meeting link to Copilot in one of the following ways:

    • If you try to send a Copilot interview without adding a meeting link, you’ll see a message:
      “Please set a calendar URL in the communication form to send Copilot interviews.”
      You’ll be automatically directed to the Communication tab in the position settings, where you can paste your meeting link into the Calendar Link field.

    • To update the meeting link at any time, go to Edit Position > Communication tab. You can add a different meeting link for each position if needed.

    • To set the same meeting link across all positions, go to Board Settings from the left-hand menu. Then click Position Defaults (top right), and under the Communication tab, paste your link in the Calendar Link field and hit Save.

Once your meeting link is in place, you’re set to send out Copilot interviews.
