🚀 Using Copilot to Send Interview Invitations and Manage the Process

Copilot just got smarter and more flexible. From customizing meeting links per position to tracking every stage of the interview journey, here's your fresh guide to sending Copilot interviews and managing everything smoothly in Veton.


🛠️ Before You Start: Navigating to Copilot

To get started with Copilot:

  1. Go to your Board – Head to the board where you’ll be creating the new position.

  2. Click + New Position.

  3. Fill in the Details, Description, and Application tabs. (We’ll cover these in separate articles.)

  4. When you reach the Copilot tab, you're ready to configure your Scorecard & Evaluation Criteria.

✅ If your ATS is integrated with Veton, positions and applicants will be pulled in automatically.

🧩 Scorecard & Evaluation Criteria

This section helps you and your team evaluate candidates consistently across interviews.

🏗️ What’s in a Scorecard?

Copilot creates a scorecard using the job’s description and role requirements. Each scorecard includes sections and items:

  • Sections group related evaluation topics, such as "Customer Support Skills" or "Product Engagement".

  • Items are specific points under each section, like “Excellent communication via Intercom and email”.

✏️ How to Customize

  • Go to the Copilot tab while editing a position.

  • Remove sections or items by clicking the red X next to them.

  • Edit names of sections or items by simply clicking on them.

  • Add new items by clicking + Item under any section.

  • This keeps your evaluations tailored and aligned with your team’s expectations.

  • You can also change the order of the items or sections by dragging and dropping them using the drag handle (highlighted in the image).

🎯 Evaluation Criteria

Under the scorecard, you'll find Evaluation Criteria.

These aren’t shown to candidates. They’re internal benchmarks to help Copilot understand what really matters in this hire.

Use these to:

  • Define specific skills or traits to look for.

  • Help Copilot tailor suggested interview questions.

  • Guide the evaluation of candidate responses.

💾 Saving & Publishing

Once you are finished with the settings:

  1. Click Save Scorecard in the bottom right.

  2. Head over to the Hiring Team tab to add team members.

  3. Click Preview to double-check everything.

  4. When you're ready, hit Publish in the bottom-left corner.

🔁 Editing Copilot After Publishing

If your data came from an ATS integration, you can still fine-tune your scorecard:

  1. From the Board, open the position you’d like to edit.

  2. Click Edit on the relevant position.

  3. Navigate to the Copilot tab.

  4. Make your changes and Save Scorecard.

📅 Set Up Your Scheduling Link

Before sending any Copilot interviews, you’ll need to set your calendar scheduling link.

Set a Default Calendar Link for All Positions

  1. Go to your Board.

  2. Click the gear icon ⚙️ on the left-hand menu to open Board Settings.

  3. In the top-right, click Position Defaults.

  4. Open the Communication tab.

  5. Scroll down and paste your scheduling link under Calendar Link.

  6. Click Save (bottom-right) and choose how you'd like to apply the changes:

    • Apply to All Positions (affects current positions)

    • Apply to Future Positions Only (leaves current ones unchanged)

🧩 Add a different Calendar link to a specific position and customize your Copilot invitation message (Optional)

If different people are handling interviews for different positions, you can also:

  • Go to Positions > select a specific position > click Edit

  • Navigate to the Communication tab

  • Paste the calendar link of the Hiring Manager handling this position

  • Edit the Copilot Invitation Message

  • Click Save once ready


📤 Sending a Copilot Interview

Once your settings are good to go:

  1. Go to the Applicants Page

  2. Find the candidate you want to invite and drag and drop their profile to the Interview sent column.

  3. Or click the three dots “...” beside their name or inside their profile

  4. Select Send Copilot Interview

The candidate will receive:

  • Your meeting scheduling link

  • The invitation message you’ve customized

5. Alternatively click Create Copilot Interview.

❗ This option allows you to schedule the meeting instead of letting the applicant schedule. It’s also a great option to use for testing.

6. Paste in your live meeting URL directly from your calendar and click Create Interview

✅ After sending:

  • Status updates to ‘Copilot Pending’

  • Once they schedule, or you set it with the Create Copilot Interview button, status updates to Copilot Scheduled

  • After completion, they move to Interview Completed with a verdict (Good Fit, Maybe Fit, or Not Fit)


🧑‍💻 Reviewing and Running Interviews

When it's interview time:

  1. Click the three dots “...” on the applicant

  2. Select Open Copilot Interview

This opens the Copilot Interview Page, which includes:

  • Candidate Profile

  • Resume

  • Your custom Scorecard

  • Notes (AI-generated + personal)


💬 Live Interview Support from Copilot

During the live call:

  • Copilot suggests follow-up questions in real time based on gaps in the conversation

  • These appear on the Scorecard under Suggested Questions

  • Questions evolve as the interview progresses


🔍 Filter Applicants by Interview Type

To make it easier to manage:

  • From the Applicants Screen, select which applicants you want to view on the top-right corner next to search:

    • All Applicants

    • AI Interview Only

    • Copilot Only

This helps you separate Copilot workflows from AI-only ones.


📊 After the Interview: Verdicts, Notes & Integrity Insights

Once Copilot completes an interview, the applicant is automatically moved to Interview Completed.

You’ll receive:

🧠 Copilot Analysis

Detailed analysis of the interview including:

  • ✅Final Verdict:
    Copilot gives an overall assessment of the candidate:

    • Good Fit

    • Maybe Fit

    • Not Fit

  • Section-by-Section Breakdown: Key strengths and gaps aligned with the role.

  • Action Items & Next Steps: What to verify or explore in a follow-up

  • 💡 Suggested Next Steps:
    AI-powered follow-up suggestions based on what was not fully answered during the interview.

📊 Scorecard

You’ll also find the full Scorecard with scores for:

  • Soft skills (communication, teamwork, adaptability, etc.).

  • Organizational alignment (initiative, work ethic, diversity values.

📝 Notes

  • AI-generated notes

    • Tagged by topic (e.g., Experience, Skills, Technical Depth)

    • Tagged by importance:

      • Key Insights – Highlighted moments that mattered

      • Conversation Fillers – Non-essential responses included for context

  • The notes you took during the interview.

🎥 Recording & Transcript

  • Full interview recording for replay.

  • Searchable transcript for review, ensuring transparency and easier feedback sharing.


Cheat Detection:

Our AI analyzes candidate speech patterns to detect signs of AI-generated responses, helping you flag inauthentic answers during interviews.

📥 Downloading the Report

Click Report Card (top-right of the candidate profile) to download the full report, including:

  • Candidate information

  • Resume analysis summary and fit

  • Interview analysis summary and fit

  • Detailed analysis

  • Action items and next steps

  • Overall Assessment (HR Manager Score)

  • Scorecard
