🎛️ 1. Boards & Your Dashboard
When you first log in, the main page you’ll see is Boards.
Boards simply group your positions.
You’ll already have one board created for you, but you can add as many as you need.
You can keep things simple by using a single board for all your positions, or you can create separate boards for different locations, departments, customers, or job types, whatever makes the most sense for your team’s structure.
📌 2. Positions Overview
Inside your board, you'll see a list of your open positions.
If you’re integrated with an ATS:
All positions and applicants sync automatically
No need to manually enter descriptions, details, or applications
Some setup pages are locked because they’re managed by your ATS
If you're using Veton as a standalone:
Veton can be used fully on its own without any integration. You can create and configure positions manually, customize your communication settings, and import applicants directly into the platform without needing any ATS integration.
Inside your board, you’ll see a list of all your open positions. You can open an existing one or create a new one anytime.
➕ Creating a new Position
To create a new position:
Go to your board
Click + New Position
Fill the required fields and publish
➕ Editing an existing Position
To edit an existing position:
Go to your board
Click the three dots for more options next to the position and select “edit”
Edit the settings and save
You’ll see the following setup tabs:
📝 Details
Here you define the basics of the role such as title, location, team, and other core information.
If your board is integrated:
The Details page will not be available because all information is pulled directly from your ATS.
📄 Description
This is where you add or edit the full job description. The AI uses the job description to understand the role’s requirements, responsibilities, and key qualifications. It influences both resume analysis and the AI interview, helping the system evaluate candidates accurately and ask relevant, targeted questions.
If your board is integrated:
The Description section becomes view only since the job description is synced from your ATS.
🧾 Application
This controls the application form that candidates complete when applying through Veton.
If your board is integrated:
The Application tab and Careers Page Preview will not be available, because applications will be collected directly through your ATS, not Veton’s standalone careers page.
✉️ Communication
This is where you customize:
Interview language
Preferred communication method (Email or SMS for first contact)
Preferred interview method (phone or video)
Auto send interviews
When enabled, Veton can automatically invite candidates to complete their AI interview.
You can define:Which applicants should automatically receive an interview
You can chose to auto send interviews to all applicants or select which fits (Good fit, Maybe fit, Not fit) receive the automated invitations.
How soon after applying the interview invitation should be sent
Disqualified communication
Enabling this option will automatically send a message to applicants who are marked as Disqualified.
Communication messages
You can customize the following messages:Interview invitation
Interview completion confirmation
Disqualified message (if it’s enabled)
Best practice: Keep your invitation message short, clear, and to the point concise messages lead to higher completion and engagement rates.
Communication settings remain fully editable regardless of integration.
🤖 AI Configuration
Interview Voice
Choose the AI voice you’d like to be used for the interview. This allows you to match your brand tone and create a consistent candidate experience.
Must-Ask Questions
Veton automatically generates interview questions based on your job description. If your team requires specific questions, you can add them here.You can also restrict the AI to ask only your custom questions.
⚠️ Note: If you enable this, the AI interviewer will only ask the questions you’ve added. No additional follow-ups or system-generated questions will be asked. Resume analysis will still function, but Interview Analysis will be limited to your custom questions.
Evaluation Criteria
Optionally, you can provide custom evaluation criteria for the AI interviewer. These help the AI focus on specific skills, qualities, or traits that are most important for your role. You can also add criteria that aren’t listed in the job description.
🧑🤝🧑 Hiring Team
Manage the hiring team involved in this position. You can add or remove team members from your organization who will have access to manage the position. This ensures the right people are involved in reviewing applicants and conducting interviews.
⚙️ Automation
With Automation Rules, you can configure rules to automatically process candidates based on specific conditions. These rules apply to all new positions created on this board.

👀 Preview
Preview your careers page to see how the position will appear to candidates. (Note: This tab will not be available if your board is integrated with an ATS.)
Once you’ve completed all settings, click Publish in the bottom right corner to make the role live and start receiving applications. After publishing you’ll land in the applicants page for the position, if you were editing the details of an existing position you can click “Applications” on the top right corner after saving the position details and settings to go to the applications page.
3. Adding Applicants
If you have an integration set up, applicants will be pulled into Veton automatically. If not, you can add applicants to a position manually using one of the options below.
Option 1: Add Applicant (Single)
Open the position you want to add applicants to.
On the Applicants page, locate the + Add Applicant option at the top-left corner, under the position name.
Click + Add Applicant.
Fill in the applicant’s details, upload the resume, and agree to the Terms of Service and Privacy Policy.
Click Apply to save.
⚠️ Note: Adding a second applicant with the same email address is not allowed. This prevents the same applicant from applying to the same position multiple times. However, you can upload the same resume using a different email address, which is useful for testing purposes.
Option 2: Import Applicants (Bulk)
This is the fastest way to add multiple applicants at once.
Next to + Add Applicant, click Import.
Import by Resumes
You’ll land on the Import Applicants by Resumes tab.
Drag and drop one or multiple resume files into the uploader, or click Upload Files to select them manually.
Check the box to agree to the Terms of Service and Privacy Policy.
Click Save to start the upload.
Once completed, applicants will appear in the Applied column.
Import by Spreadsheet
Alternatively, switch to the Spreadsheet tab to upload applicants in bulk using a spreadsheet file.
Click Spreadsheet next to the Resumes tab.
Download the Applicant Template.
Add applicant information to the template.
Do not delete or modify existing columns.
Upload the completed file.
Agree to the Terms of Service and Privacy Policy, then click Save.
Veton’s resume analysis goes beyond basic keyword matching. When importing a high volume of applicants, please allow some time for all files to be fully processed. You’ll receive a Bulk Import Complete email once the process is finished.
4. Export Applicants
Next to the Import option, you’ll see Export.
When clicked, an Excel file will be generated containing all applicants for the selected position, including:
Applicant details
Interview sent and completed timelines
Interview and resume analysis summaries
Candidate profile URLs
🤖 4. Sending Candidates to the AI Interviewer
Once candidates are in the Applied column, you can send them for an interview:
Method 1 — Drag & Drop
Drag the candidate into the Interview Sent column.
Method 2 — Three Dots Menu
Click the ⋯ next to the candidate
→ Send AI Interview
Candidates then receive the instructions via email/SMS depending on your settings.
When they start the interview, their status updates automatically.

Completed interviews appear in the Interview Complete column.
Click into the candidate to review:

Your pipeline has the following default columns:

Drag candidates through each step, or use the menu options for actions like:

The pipeline updates automatically as candidates progress.

Inside each candidate profile, click Report Card to download the full PDF including:

Interview analysis summary
Complete breakdown with insights
